BACKGROUND AND ANALYSIS
As the Clubhouse project progresses, staff is coordinating final simulator measurements and installation with Design2Golf. To avoid a 2.5% project management fee, the simulators were budgeted as "owner’s items," meaning all hardware must be purchased separately.
The Clubhouse design includes two multi-sport simulators specifically designed to implement Trackman technology which is only available directly from the manufacturer (sole source). Staff recommend that the Village Board consider the approval of a resolution authorizing the Village Manager to waive the competitive bidding process and execute a contract to purchase two Trackman IO launch monitors from Trackman Inc. The proposed contract includes a complimentary subscription for hardware maintenance and software updates as well as a $7,500 trade-in credit for current launch monitors.
Since 2003, Trackman Inc. has established itself as the global leader in golf ball flight analysis and performance technology, revolutionizing how athletes and coaches train across multiple sports. Their optically enhanced radar tracking provides the most accurate impact conditions in the industry, measuring numerous data points imperative for accurate tracking and analysis. The two simulator rooms in the new clubhouse were designed to implement Trackman technology which is only available directly from the sole source manufacturer.
The bid is still over budget by $29,823 due to an increase in the scope of the overall simulator design and the addition of a surround sound audio/visual system to the plan. The shortage will be offset by savings in the Range Netting System proposal which came in $23,461 under budget. The remaining overage will be covered by the Golf Fund when a transfer is made to the Capital Fund at year end.
RECOMMENDATION
Staff recommend that the Village Board consider authorizing the Village Manager to purchase two Trackman IO launch monitors from Trackman Inc. in an amount not to exceed $39,490.
