BACKGROUND AND ANALYSIS

The clubhouse construction project has progressed significantly with the site grading work coming to completion. This progress now provides the opportunity to begin construction on the planned enhancements of the regulation sized croquet court and a short game practice area.

A short-game experience is being created that provides both fun and serious practice options for golfers. These practice enhancements are meant to complement the clubhouse amenities, providing alternative fun areas of play that enhance and extend the user experience. The short-game green will provide authentic practice options for chipping, pitching and bunker work that emulates the features of the existing golf course. This area would also be ideal for accommodating group lessons and/or junior clinics while maintaining full access to the golf course for the paying public users.

The regulation sized croquet court will create a new opportunity to enjoy this sport. The court will offer league play, tournaments, and free lessons. The regulation-sized croquet court will be suitable for hosting regional competitions and will provide a multi-use surface that can be used for putting practice as well.

The project scope includes the installation of drainage and irrigation systems, earthwork and site grading, finish shaping of all subgrade work surfaces, installation of catch basins, installation of greensmix for both croquet court and short game green, seeding of fairways and installation of sod bluegrass for the rough. The vendor will also manage the grow in of the new areas as well as final cleanup and restoration of the construction area. 

The Friends of the Glencoe Golf Club is supporting the short game area and croquet court as one of the facility enhancements through their ongoing fundraising campaign. The Friends of the Glencoe Golf Club’s mission statement is to increase awareness, support and use of the Glencoe Golf Club and to serve as a fundraising organization for the continued improvement of this unique community asset. A transfer of funds from the Friends to the Clubhouse Project Budget for $350,000 will take place to offset the project expense.

This project was competitively bid through a Request for Proposal process, and Hollembeak Construction, Inc. was the lowest bid meeting the full scope of work and all requirements included in the RFP. A contingency of $11,000 has been added to the overall cost to cover any unforeseen expenses.

RECOMMENDATION

Staff recommend that the Village Board consider authorizing the Village Manager to execute a contract with Hollembeak Construction, Inc., for the construction of a short game area and regulation-sized croquet court in an amount not to exceed $255,398 and to Authorize a Fifty Percent Deposit Upon Ratification of the Contract.

Move to approve a resolution authorizing the Village Manager to execute a contract with Hollembeak Construction, Inc., Big Rock, IL, for the construction of a short game practice area and regulation sized croquet court for an amount not to exceed $255,398 and to Authorize a Fifty Percent Deposit Upon Ratification of the Contract.
